(Contract No. 2015-0672) | | Background: | The Information Technology Department is currently under contract with SHI Government Solutions for maintenance and support for Microsoft products. The County entered this 3-year software licensing agreement (Contract No. 2015-0672) with SHI Government Solution on behalf of Microsoft in December 2015.
This agreement provided for the use of the Microsoft Office suite for all County users. The Office suite, you’ll recall, includes tools that enable word processing, calendaring, contact management, and spreadsheets. In addition to these, the contract permits the use of enterprise email, database management, various specialty applications, and advanced cloud storage.
In October of this year, in preparation for the renewal of the agreement, Microsoft provided a software tool that allowed for a precise accounting of our license usage. This exercise revealed that our estimated user counts were deficient from levels supported by the contract. Provisions of the contract require that we account for these additional licenses retroactively and remit payment. The additional cost of each year's licenses is approximately $295,000.
The Information Technology Department the Budget & Fiscal Policy department, we were successful in identifying potential one-time funding sources to absorb this contract increase without substantially affecting operations.
